Choosing an Events Center Wisely



Organizers of events know for a fact that an event’s success is greatly affected by the venue in which it takes place. This is why choosing an events hall or an events center is of prime importance for any event organizer. If you are in the events organizing business, here are some tips on how you can choose an events center wisely: FACE.

  1. Facilities. The events hall should have updated facilities. Check the condition of the exterior of the events center (parking space, grounds, etc.) and its interior (carpet, paint, decors, layout, tables, lighting, and restrooms). Facilities should be clean and orderly to make each guest comfortable.
  2. Amenities. You should be able to freely use the events hall according to your needs. But of course, there are certain limitations as per rules and regulations of the event center management. Before signing any deal, be sure to discuss how you can put up banners, signage and other directions; provisions for your guests; and the availability of concierge services among many others.
  3. Catering. Food is important in any event. Guests become cranky when hungry. Look at the menu offered by the events hall (in case they offer in house catering). If they do not have catering services, ask about corkage fees if you will order the food from a third party caterer. Consult them about the catering set-up you want, too. Some event centers do not allow on-site kitchen operation. Also, do not forget to taste test.
  4. Equipment. What kind of event does not use equipment? Every event needs quality sound system at the very least. But if you want a more grandiose set-up, you will need more than that. Here is a checklist of equipment that you may use for your events:
  • Mobile sounds system complete with wireless microphones or lavalieres (lapel mics).
  • LCD projectors with handheld remotes.
  • Appropriate screens and other display (flat screen TVs, monitors, etc.) options.
  • High speed WiFi.
  • Outlets and extensions.

Ask the events center if they provide these things. Inquire also about the set-up if you want these to bring the equipment yourself.

There is your checklist for choosing an events center wisely.  Always remember to look at the FACE of an events hall – facilities, amenities, catering, and equipment. Also, do not forget to document your budget to make sure you don’t spend along the way.
